Your privacy, as a support worker

When you join us, you trust us with some genuinely personal information — including a police check and your ID. This page explains what we ask for, why we need it, who else sees it, and how you get it back or have it removed. Plain English, because a notice nobody reads doesn't do its job.

1. Who we are

Match My Support is a trading name of SupportSouthWest Pty Ltd, ABN 94 678 402 750, an Australian company registered since June 2024. We’re based in Perth and connect NDIS participants, older Australians and families with support workers and allied health professionals right across Australia.

2. What we collect

Your profile

Your name, the suburb and state you work in, your photo, what you write about yourself, the supports you offer, where you travel and when you're available, and any languages you speak. This is the part participants read.

Your checks and clearances

Your NDIS Worker Screening Check, National Police Check, Working with Children Check (if you support anyone under 18), First Aid and CPR certificates, proof of your right to work in Australia, photo ID, your qualifications, and two references. If you drive participants, your licence and comprehensive car insurance. If you work through an ABN, your ABN and insurance certificates.

Your work details

Contact details, bank and superannuation details, a tax file number declaration if you're a casual employee, the shifts you work and the notes you write about them.

About the police check. Some of this is what the Privacy Act calls sensitive information — a police check is a record about criminal history, and we can only collect it with your consent. Creating your account and uploading these documents is how you give that consent.

You can withdraw it at any time by telling us. If you do, we won't be able to keep offering you work — we can't put someone in front of a participant without current checks.

3. Why we collect it

If you don't give us this information, we can't verify you, we can't publish your profile, and we can't offer you shifts. That's not us being difficult — a provider who can't evidence its workers' checks fails its audit, and participants are entitled to know the person coming into their home has been checked.

Worker screening is currently required by our own policy and by your agreement with us. We're working through NDIS registration, and once that's complete some of these checks become a legal requirement rather than a policy one. We'll update this page when it changes.

4. What's public and what isn't

Participants see that a check is current — never the document, never the number, never what's in it.

Nothing is published until you say so. You write your own profile, you tick a box to approve it, and you can change it or take it down whenever you like.

5. Photos of your work

You can add up to six pictures of what you do — your veggie patch, a meal you cooked, a walk you like. They're often what makes a participant pick up the phone.

Strict rules apply, and we check every photo before it appears anywhere:

When you upload a photo, we automatically strip out the hidden location data that phones record, so a photo can't quietly give away where it was taken. You can remove any photo at any time, and we can remove one at any time too.

6. Who else sees it

We don't sell your information to anyone, and we don't use it for advertising.

Some of the companies above are based overseas even where your information is stored in Australia, which can mean their support staff are able to access it from outside Australia. We're confirming the exact position with each of them and will set it out here in full. If you'd like to know where things stand before you upload anything, email us and ask — we'll tell you what we know.

7. How long we keep it

We keep your records for seven years after your last shift with us, then we destroy them. Seven years is the longest of the periods that apply to us — employee records under the Fair Work Act, tax and superannuation records, and NDIS record-keeping — so we use the one number for everything rather than keeping different things for different lengths of time.

Your public profile and your photos come down as soon as you stop working with us, or sooner if you ask. Those aren't records we're required to keep.

8. Getting a copy, fixing it, or deleting it

You can ask us at any time to:

9. Keeping it safe

Your checks and clearances are held in Astalty behind role-based access, so only authorised Match My Support staff can open them. Your profile and photos sit in a private database hosted in Sydney, where the security rules mean you can only ever see your own record. We use multi-factor authentication on our own accounts.

What we won't tell you

We won't tell you your information is 100% secure, because no honest organisation can say that about any system. What we will promise is this: if something goes wrong, we'll assess it straight away, and we'll tell you and the Office of the Australian Information Commissioner if it's likely to cause you harm — as the Notifiable Data Breaches scheme requires.

10. If you're not happy

Tell us first. Email hello@matchmysupport.com.au with "Privacy complaint" in the subject line. We'll acknowledge it within 5 business days and give you an answer within 30 days.

If you're not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or 1300 363 992.
